Annex A — Quality Requirements for Suppliers

1. This Annex A sets out supplementary quality requirements for suppliers and contractors of DubbeDynamics GmbH. It applies to goods, apparatus, machines, assemblies, components, spare parts, engineering, manufacturing, assembly, testing, documentation and service performances, insofar as it is incorporated into the order, the contract or the General Purchasing Terms of DubbeDynamics GmbH.

2. These quality requirements supplement the order, technical specifications, drawings, requirement specifications, test plans, quality agreements and the General Purchasing Terms of DubbeDynamics. In the event of contradictions, individually agreed technical specifications and written special agreements take precedence.

3. Irrespective of tests, approvals, comments, inspections or audits by DubbeDynamics, the supplier remains fully responsible for contractual, safe, defect-free, legally compliant and fit-for-purpose performance.

1. The supplier must maintain an effective, documented quality management system appropriate to the nature and risk of the performance. Certification to ISO 9001 or a comparable standard is expected, insofar as this is customary in the market or agreed for the type of performance.

2. For performances with special safety, welding, pressure-equipment, explosion-protection, mechanical-engineering, electrotechnical or other regulatory requirements, the supplier must provide evidence of additional relevant qualifications, approvals, certificates or procedure tests, insofar as these are required for its performance.

3. DubbeDynamics is entitled to qualify and evaluate suppliers on the basis of technical, commercial, qualitative, scheduling, compliance-related and project-specific criteria and to demand corrective measures in the event of significant deviations.

1. The supplier must adequately test all performances before delivery or provision and document the test results in a traceable manner. Tests must be suitable to demonstrate compliance with the order, specification, drawing, standards, tolerances, material requirements and functional requirements.

2. On request, in particular test plans, test reports, dimensional reports, factory test certificates, EN 10204 certificates, welding documentation, heat-treatment records, pressure-test evidence, leak tests, calibration certificates, declarations of conformity, material traceability and release documents must be presented.

3. Documents must be provided completely, legibly, clearly attributable, in auditable form and in the agreed language. Missing, incorrect or non-auditable quality documentation constitutes a defect in delivery or performance.

1. Changes to materials, specifications, drawings, manufacturing processes, test procedures, software versions, sub-suppliers, production sites, quality-relevant processes or safety-relevant components require the prior consent of DubbeDynamics in text form.

2. If the supplier identifies deviations, non-conformities, quality risks or possible effects on schedule, function, safety, approval, documentation or costs, it must inform DubbeDynamics without undue delay and submit a technical assessment and a proposal for corrective measures.

3. Deviation approvals, special releases or concessions apply only to the expressly named individual case. They do not constitute a change to the specification and no release for recurring cases.

1. The supplier must ensure appropriate traceability for materials, parts, batches, serial numbers, test lots and safety-relevant components. The scope is determined by the specification, statutory requirements, risk class and contractual purpose.

2. Markings on parts, packaging, delivery notes and documents must be clear, durable, legible and linkable to the order, item number, material number, batch or serial number and relevant certificates.

3. Material mix-ups, unclear material origin, missing certificates or interrupted traceability constitute a significant deviation for quality- or safety-relevant parts.

1. DubbeDynamics is entitled, after reasonable prior notice, to conduct or have conducted by third parties audits, supplier evaluations, production inspections, documentation reviews, progress checks and quality meetings at the supplier or at significant sub-suppliers.

2. Audits or inspections do not constitute acceptance, do not transfer risk, do not limit warranty or damages claims and do not release the supplier from its responsibility.

3. Identified deviations must be analysed by the supplier without undue delay. It must determine causes, initiate immediate and sustainable corrective measures and demonstrate their effectiveness to DubbeDynamics.

1. The supplier must ensure that delivery, packaging, preservation and transport meet the technical and climatic requirements of the goods and prevent damage, corrosion, contamination, moisture ingress, electrostatic damage or other quality impairments.

2. Sensitive, calibrated, cleaned, preserved, sterile, electronic, pressure-tested or safety-relevant components must be protected, marked and provided with handling instructions accordingly.

3. Damage or quality impairments resulting from inadequate packaging, preservation, storage or transport preparation are at the supplier's expense.

1. The supplier must retain quality-relevant documents, test reports, certificates, traceability evidence and release documents for at least ten years after delivery, unless longer statutory or project-specific retention periods apply.

2. On request by DubbeDynamics, the documents must be provided without undue delay. This also applies after termination of the business relationship, insofar as the documents are needed for operation, maintenance, repair, evidence, authorities, customers or insurers.

3. The supplier must ensure that sub-suppliers also retain and make available corresponding evidence.

Apparatus / pressure parts: material certificates, pressure test, welding documentation, test reports. To be specified per project.

Machines / assemblies: test reports, CE-relevant evidence, functional test. FAT criteria to be set in the order.

Welding work: WPS/WPQR, welder qualifications, NDT reports. ISO 3834 / EN 1090 where required.

Measuring / test equipment: calibration certificates, traceability. Check validity at delivery.
